Disaster Preparedness Plan



Note: Copies of the Plan should be provided to each member of the emergency team and stored with the backup tapes. The Plan should be written in sufficient detail that a computer literate individual not familiar with local operations can backup and restore critical data.

I. Emergency Team Members (should include Director, LAN Administrator and alternate, contact for restoring data communication lines, and all other personnel assigned disaster recovery duties)

A. Names
B. Address
C. After hour telephone number
D. Other desired information (i.e., beeper/mobile phone number, etc.)

II. Emergency Duties and Responsibilities of Key Personnel

A. Securing site from further loss and deterioration
B. Assessing damage and estimating length of time to recover
C. Moving to alternate work-site as necessary
D. Procuring the necessary replacement hardware and software
E. Retrieving off-site backup tape(s) and instructions
F. Reinstalling files
G. Other duties identified

III. Overview of System

A. Description of server hardware and operating system
B. Number and location of user PCs
C. List of major applications and/or operations supported by the LAN

IV. Location of backup tape(s) and procedures for retrieving the tape(s) (including after hours).

V. Alternate job site(s) for processing (space, etc. should be pre-arranged), and the people to contact to facilitate the move. (Areas where operations can continue in the event the department's quarters are disabled.)

Appendix A

List of hardware (PC's, backup tape units, printers, communication boards/cards, etc.)

Include:

1. make
2. model
3. serial number
4. capacity (disk, memory, tape, speed, etc.)
5. vendor/supplier contact, etc.

Appendix B

List of software (operating system, tape drive, applications, etc.).

Include:

1. name
2. author (i.e., Microsoft)
3. version
4. memory and system requirements
5. vendor/supplier contacts, etc.

Appendix C

1. Overall departmental backup philosophy and strategy
2. Backup procedures - explicit directions for backing up files to tape from both the server and desktop PCs
3. Restore procedures - explicit directions for reloading files from tape to both the server and desktop PCs
4. Procedures which address verification of restored computer files
5. Procedures for securing and protecting equipment when there is advance notice (i.e., hurricane).

Appendix D

1. List of critical equipment and supplies required if manual operations must be implemented until equipment/site is restored.
2. List of minimal equipment required to operate at alternate job site.

Appendix E

1. Schedule for routine testing of plan (at least annually).
